I. Key Responsibilities

Executive calendar and network management

  • Manage a high-level executive calendar: schedule, prioritize and coordinate internal/external meetings and events (approx. 10 per week) to optimize leadership time and decision-making.• Develop and maintain the executive’s relationship network through targeted outreach and strategic follow-up with senior stakeholders.• Map and monitor EU/international events in line with Darwin’s and clients’ priorities.

Internal coordination and team organization

  • Organize and facilitate internal meetings: prepare agendas, lead team sessions, capture decisions, follow up on action items, and keep the team aligned on priorities and deadlines.• Coordinate team tasking and to-do lists; ensure projects and deliverables progress smoothly; report key updates and outcomes to leadership.• Adapt to shifting priorities; proactively resolve conflicts, reorganize plans and re-prioritize as new needs arise.

Monitoring and content support

  • Produce daily policy/political monitoring aligned with clients’ priorities.• Deliver weekly business monitoring.• Manage the weekly nominations and congratulations outreach email (as applicable).• Support the Chief of Staff and CEO with briefing books and annual travel planning.

Workflow and information/database management

  • Update and maintain website content. • Building a communication agenda and producing the communication content following Darwin’s 3 patrons of communication, mainly via LinkedIn/newsletter. • Oversee the CRM database: cleaning the remaining contacts (around 4000 contacts), keeping the contacts information updated and tagged. • Manage high volumes of information efficiently; synthesize and streamline workflows and processes when needed.II. Profile

ExperienceMinimum 2 years’ experience in project management, office management, executive assistance, or internal operations. Please note, we will not consider profiles that hasn’t worked for a duration of at least a year in a long-term work contract.

Skills

  • Fluent English and French (German or other languages are a plus).• Strong digital skills: advanced Microsoft Office (Excel/PowerPoint/Word), Canva and CRM platforms (Pipeliner).• Excellent organization and multitasking skills; proven ability to support executives and teams in fast-paced environments.• Knowledge of the EU Institutions
